Welcome to Hamilton Hoops! Our goal is to bring people together through basketball in a friendly, organised and competitive environment.
These Terms & Conditions apply to all Hamilton Hoops activities, including regular basketball sessions, pickup games, tournaments, competitions, free events and other activities organised by Hamilton Hoops.
By registering for or participating in a Hamilton Hoops activity, you agree to follow these terms.
Players must complete the relevant registration form for the activity they wish to attend.
Submitting a registration form does not guarantee a place.
After submitting the form, players must message the official Hamilton Hoops Facebook Page to confirm their registration and receive payment instructions where applicable.
Places are limited and allocated according to the registration and payment process communicated for each activity.
Players must provide accurate registration information and notify the organiser of any relevant changes.
Players must meet the eligibility requirements for the activity, including any advertised age restrictions or other participation requirements.
For players under 18, parent or legal guardian consent may be required.
Bookings are non-transferable. Players cannot give, sell or transfer their registered spot to another person. If a player can no longer attend, they must notify Hamilton Hoops. Any available spot will be managed by Hamilton Hoops and may be offered to a player on the waitlist.
Hamilton Hoops reserves the right to refuse or cancel a booking where reasonably necessary, subject to applicable law.
Any participation fee will be displayed or communicated before registration is completed.
Where payment is required, players must follow the payment instructions provided by Hamilton Hoops.
Unless otherwise stated, players have 24 hours from receiving payment instructions to complete payment.
A place is secured once the required payment has been received and confirmed.
If payment is not received within the stated deadline, Hamilton Hoops may release the place to another player without further notice.
Players must use the requested payment reference and provide proof of payment if requested.
Free activities do not require payment unless additional charges are clearly communicated beforehand.
Unless different terms are clearly communicated for a particular activity, the following cancellation policy applies to paid bookings:
3 or more days before the activity: Eligible for a full refund.
Less than 3 days before the activity, but more than 24 hours before it starts: Eligible for a 50% refund.
Within 24 hours of the activity starting: No refund for player-initiated cancellations or failure to attend.
Players should notify Hamilton Hoops as soon as possible if they can no longer attend.
Bookings cannot be transferred to another player. If a player cancels, Hamilton Hoops will manage the available spot and may offer it to someone on the waitlist.
If Hamilton Hoops cancels an activity, affected players will be informed and offered an appropriate refund or other remedy in accordance with applicable New Zealand law.
If an activity is postponed or rescheduled, Hamilton Hoops will communicate the available options to registered players.
Nothing in this policy limits any rights or remedies a player may have under applicable New Zealand law.
When an activity reaches capacity, additional players may be placed on a waitlist.
Waitlisted players are not guaranteed a place.
If a place becomes available, Hamilton Hoops may offer it to a waitlisted player.
Any payment deadline for an offered place will be communicated directly.
If the deadline is missed, the place may be offered to another player.
Players who can no longer attend should notify Hamilton Hoops promptly so their place can be managed appropriately.
Players must not independently arrange for another person to take their place. All changes to registrations must be managed by Hamilton Hoops.
Hamilton Hoops aims to provide a welcoming environment where players can compete, improve and enjoy basketball together.
All participants are expected to:
Treat other players, organisers, venue staff and spectators with respect.
Play fairly and demonstrate good sportsmanship.
Follow the rules and instructions communicated for the activity.
Respect other players' physical boundaries and personal space.
Avoid bullying, harassment, discrimination, threats, fighting and abusive behaviour.
Avoid deliberately dangerous or reckless play.
Respect venue rules and take care of equipment and facilities.
Resolve disagreements calmly and respectfully.
Hamilton Hoops may issue a warning, remove a player from a game or refuse future participation where behaviour is unsafe, abusive, disruptive or seriously inconsistent with these expectations.
Serious incidents may result in removal without a refund, where appropriate and permitted by law.
Each activity may have its own format, rules and participation requirements.
These may include:
Team sizes and team selection.
Game duration, scoring and rotations.
Substitutions and player responsibilities.
Fouls and other rule violations.
Tournament structures and placing games.
Age limits, player caps and equipment requirements.
Players are responsible for reading the information provided for their activity before attending.
Where games are self-officiated, players are expected to call their own fouls honestly, respect other players' decisions and resolve disagreements reasonably.
Hamilton Hoops may make reasonable adjustments to game formats where necessary for safety, fairness, timing, venue availability or the smooth running of an activity.
Basketball is a physical sport involving running, jumping, physical contact and the risk of injury.
By participating, players acknowledge the ordinary physical demands and inherent risks of basketball.
Participants are expected to:
Assess whether they are fit enough to participate.
Warm up appropriately and play within their abilities.
Wear suitable clothing and footwear.
Follow reasonable safety instructions from the organiser and venue staff.
Stop playing if they experience an injury, feel unwell or believe continuing would be unsafe.
Avoid participating while impaired by alcohol, drugs or any other substance that makes participation unsafe.
Players should seek appropriate medical advice when necessary and are responsible for their own health decisions.
Any injury or safety incident should be reported to the organiser as soon as reasonably possible.
Hamilton Hoops will take reasonable steps within its role as organiser to support a safe environment. Nothing in these terms excludes or limits any legal responsibility that cannot lawfully be excluded.
Hamilton Hoops may take photographs or record video during activities for purposes such as event recaps, community updates and promotional content.
Where identifiable participants may be photographed or recorded, Hamilton Hoops will communicate its practices and provide an appropriate way to raise privacy concerns or object to the use of their image.
Participants must respect the privacy of other players. Do not photograph, record or publish footage of another person in a way that is intrusive, harassing or otherwise inappropriate.
Please contact Hamilton Hoops if you have concerns about a photograph or video in which you appear.
Any collection, use, storage or disclosure of personal information or identifiable images will be handled in accordance with applicable New Zealand privacy law.
Hamilton Hoops collects information through registration forms and communications to organise activities, manage bookings, confirm attendance, process payments and communicate important updates.
Information will be used for legitimate purposes connected with organising and managing Hamilton Hoops activities.
Access to personal information will be limited to those who reasonably need it for these purposes, subject to applicable law.
Hamilton Hoops will take reasonable steps to protect personal information against loss, misuse and unauthorised access or disclosure.
Personal information will not be publicly shared without an appropriate reason or lawful basis.
Participants may contact Hamilton Hoops to ask about their personal information or raise a privacy concern.
Circumstances such as venue availability, insufficient registrations, equipment issues, severe weather affecting travel or safety, or other unforeseen events may require an activity to be changed, postponed or cancelled.
Where reasonably possible, registered participants will be notified of significant changes.
Hamilton Hoops may adjust the schedule, venue, format or team arrangements where reasonably necessary to run an activity safely and fairly.
Where an activity is cancelled or materially changed, Hamilton Hoops will communicate the options available to affected participants and comply with applicable refund and consumer protection requirements.
Participants must follow the rules of the venue where an activity takes place.
Players must use equipment appropriately, respect the facility and leave the playing area in a reasonable condition.
Participants may be held responsible, to the extent permitted by law, for deliberate or negligent damage they cause to venue property or equipment.
Hamilton Hoops is not responsible for personal belongings that are lost, stolen or damaged, except where responsibility cannot lawfully be excluded.
Hamilton Hoops aims to organise balanced, enjoyable and competitive games.
Depending on the activity, teams may be selected or adjusted using information such as playing experience, skill level, height, fitness, availability and team numbers.
Team selections and game formats may be adjusted to maintain fairness, accommodate withdrawals or ensure that the activity can proceed.
Players are expected to respect team selections and cooperate with reasonable changes made by the organiser.
Hamilton Hoops may communicate with registered players through the official Facebook Page, event group chats, email, registration details or other channels communicated for the activity.
Players are responsible for checking the information and instructions relevant to their booking.
Players should notify Hamilton Hoops promptly if they can no longer attend or if their contact details change.
Following a social media account or joining a Facebook Group does not, by itself, constitute registration for an activity.
These Terms & Conditions apply alongside any additional rules or instructions communicated for a particular activity.
If specific event terms differ from these general terms, the event-specific terms will apply to that activity to the extent that the difference is clearly communicated and legally permitted.
Hamilton Hoops may update these terms from time to time. The latest version will be made available on the website, with the update date shown at the top.
Any changes will not remove rights or remedies that participants have under applicable law.
If you have any questions about these Terms & Conditions, bookings, payments, refunds, privacy or participation, please contact Hamilton Hoops through our official Facebook Page.
